A Seasonal 20-Minute Collection Inventory Update
A light, repeatable checklist for keeping collection records current after purchases, moves, new photos, and changing context.

A collection record does not need to be rebuilt every year. A short recurring review can keep the useful details current without turning record-keeping into a major project.
Choose one season and one collection. Set aside twenty minutes to look only for changes since your last review. You might have bought, sold, gifted, moved, repaired, or re-photographed an item. You may have found a receipt, clarified a maker mark, or learned that an older note was uncertain.
A short maintenance checklist
- Add new items and mark items that left the collection.
- Refresh photos where condition, labels, or context changed.
- Attach or note new receipts, correspondence, or professional records with their dates.
- Update general locations after a move or storage change.
- Keep uncertainty visible. Do not overwrite an older statement simply because a newer detail is incomplete.
- Review any printed copy or report for its date and scope before relying on it.
Make the habit useful, not perfect
This is a maintenance habit, not a promise that every record will be complete. The aim is a record you can return to, understand, and improve over time.
Keep account credentials, security details, and other sensitive access information out of the inventory itself.
